Job Brief:

We are looking for a responsible Administrative Assistant to perform a mixture of administrative and secretarial tasks. Duties of the Administrative Assistant include providing support to the company’s managers and employees, assisting in everyday office needs and managing the company’s general administrative activities.

Role Objective:

  • The successful Admin Assistant will ensure the efficient and smooth day-to-day operation of the office.

Key Responsibilities:

  • Greet visitors and direct them in the right department or person, answer inquiries, and create a welcoming environment

  • Organize and manage files and databases in a classified manner

  • Manage correspondence including emails and phone calls

  • Screen phone calls, redirect calls and receive messages

  • Plan appointments, meetings, and reservations as needed

  • Receive deliveries; sort and distribute incoming mail

  • Maintain and order office supplies

  • Receive invoices and review for accuracy

  • Coordinate staff travel arrangements including transportation and accommodations

Skills and Qualifications:

  • Bachelors degree preferred

  • 3+ years of clerical, secretarial, or office experience

  • Proficient computer skills, including Microsoft Office

  • Strong verbal and written communication skills

  • Comfortable with routinely shifting demands

  • A high degree of attention to detail

  • Data entry experience

  • Working knowledge of general office equipment

  • Professional attitude and appearance

  • Solid written and verbal communication skills

  • Ability to be resourceful and proactive when issues arise

  • Outstanding organizational skills

  • Multitasking and time-management skills, with the ability to prioritize tasks

  • Customer happiness attitude
